Portal Policy & Terms

1. Overview

This Policy explains how Noviq Technologies (“we”, “us”) operates the NoviqSMS portal at noviqsms.com, how we handle information you provide when registering an institution or contacting us, and the terms under which we provision and host a NoviqSMS instance for your organisation.

By registering an institution or using this portal you agree to this Policy. If you are registering on behalf of an institution, you confirm that you are authorised to do so.

2. Information we collect

When you register an institution or contact us, we collect the information you submit in the form, including:

• Institution details: name, type, requested subdomain, country, city, address, website and approximate size.
• Administrator details: name, work email, phone number and designation.
• Any notes or messages you send us.
• Basic technical data such as IP address and timestamps, used to prevent abuse and secure the portal.

3. How we use your information

We use the information you provide to:

• Verify that the registration is from a genuine institution and an authorised person.
• Send transactional emails: email confirmation, review status, approval, provisioning updates and go-live details.
• Create and configure a dedicated database and subdomain for your institution on our infrastructure.
• Provide support and respond to your enquiries.
• Maintain security, prevent fraud and comply with legal obligations.

4. Email confirmation and approval

After you register, we email the administrator a confirmation link. The registration is only submitted for review once that link is used. Confirmation links expire after 48 hours.

Noviq Technologies reviews each confirmed registration. We may approve or decline a request at our discretion, for example where we cannot verify the institution. If we decline, we will tell you why by email.

5. Provisioning and hosting

On approval, an automated provisioning service running on our Linux infrastructure creates a dedicated PostgreSQL database for your institution, deploys the NoviqSMS web application and API for that database, and publishes them on your chosen subdomain (subject to availability).

Each institution’s data is stored in its own database and is not shared with other institutions. We take routine backups and apply security updates to the hosted platform.

You are responsible for the accuracy of the data your staff enter into your instance and for managing user accounts within your institution.

6. Third-party integrations and credentials

NoviqSMS can connect to external services to enable certain features. Noviq Technologies does not provide, resell or operate these services and does not supply accounts or credentials for them. To use a feature that depends on one, your institution must open its own account with the relevant provider and enter its own credentials (API keys, tokens, sender IDs) in the Settings section inside your NoviqSMS instance.

This applies to, among others:

• SMS Gateway — used for fee reminders, absence alerts and result notifications by SMS.
• WhatsApp Business API — used for messaging parents on WhatsApp.
• Google Gemini API — used for AI-assisted features such as drafting announcements and summarising results.
• You are responsible for selecting the providers, opening and maintaining the accounts, and paying any charges those providers bill you for usage.
• Credentials you enter are stored with your instance’s data and are used only to call the service you configured. You can view, update or remove them at any time in Settings.
• Message delivery, content rules and compliance obligations (for example recipient consent, WhatsApp template approval, and any data you choose to send to Gemini) are governed by each provider’s own terms and privacy policy, not by this Policy.
• If a required credential is missing or invalid, only that feature is unavailable — core NoviqSMS functionality is unaffected.

7. Data sharing

We do not sell your information. We share it only with service providers that help us operate the portal and hosting (for example, our email delivery provider and infrastructure providers), and only to the extent needed to provide the service, or where required by law. Third-party services you connect yourself (see section 6) receive only the data your instance sends when you use those features.

8. Data retention

Registration records are retained while your institution uses NoviqSMS and for a reasonable period afterwards for accounting and audit purposes. Contact messages are retained until resolved and for a reasonable period thereafter. You may ask us to delete a registration that has not been provisioned.

9. Your choices and rights

You can ask us to access, correct or delete the personal information you have provided through this portal by emailing us. We will respond within a reasonable time. Transactional emails relating to an active registration cannot be opted out of, as they are necessary to deliver the service.

10. Security

We use industry-standard measures to protect information in transit and at rest, including encrypted connections, access controls and isolated per-institution databases. No system is perfectly secure, and we cannot guarantee absolute security.

11. Acceptable use

You agree not to:

• Register an institution you are not authorised to represent.
• Submit false, misleading or fraudulent information.
• Attempt to disrupt, probe or gain unauthorised access to the portal or hosting infrastructure.
• Use the portal to send spam or unlawful content.

12. Changes to this Policy

We may update this Policy from time to time. The “last updated” date below reflects the latest version. Material changes affecting registered institutions will be communicated by email.
